Troubleshooting connection issues
SMTP authentication failed
This means your email provider rejected the login details. For Gmail and Google Workspace, this usually means your regular account password was used instead of an App Password.
Step-by-step for Gmail (recommended)
- Open Google Account Security and enable 2-Step Verification first.
- After 2-Step is enabled, create a 16-character App Password for Mail.
- In this form, enter your Gmail address and paste the App Password (not your normal Google password).
- Use these SMTP values: host smtp.gmail.com, port 587, security STARTTLS.
- Click Save Connection, then Send Test Email (to self).
If Save Connection still fails
- Check for accidental spaces before/after the email or password.
- Recreate the App Password and paste it again.
- Make sure your provider hint matches your mailbox (for example Gmail vs Outlook).
- Open Advanced SMTP override and verify host, port, and security from provider docs.
Connection timeout
Your network or firewall may be blocking outbound SMTP. Try another network (for example mobile hotspot) or ask IT to allow traffic to your SMTP host on port 587/465.
Test email did not arrive
Check Spam/Junk, Promotions (for Gmail), and provider security alerts. Some inboxes delay first-time SMTP sends by a minute or two.
Google Workspace note
If your account belongs to an organization, your admin might disable App Passwords. In that case, contact your Google Workspace admin to allow App Password usage for SMTP apps.
Other providers: easy setup guides
Outlook / Microsoft 365
- Use your full Outlook or Microsoft 365 email address.
- Enter your mailbox password in the password field.
- If your account uses MFA, create and use an app password if your organization allows it.
- Use host smtp.office365.com, port 587, security STARTTLS.
- Click Save Connection, then Send Test Email (to self).
Yahoo Mail
- Sign in to Yahoo Account Security and generate an app password.
- Use your Yahoo email as the username.
- Paste the Yahoo app password in this form (not your normal sign-in password).
- Use host smtp.mail.yahoo.com, port 587, security STARTTLS.
- Save, then run Send Test Email (to self).
Apple iCloud Mail
- Go to your Apple ID security settings and generate an app-specific password.
- Use your iCloud email as the username.
- Paste the app-specific password here (not your Apple ID password).
- Use host smtp.mail.me.com, port 587, security STARTTLS.
- Click Save Connection and test by sending to yourself.
